Set up your Reploom workspace

Create a workspace, connect your first lead channel, and know when Live Sales QA and your first report will be ready.

Before you start

You need a Reploom account and access to the business channels your team uses for incoming leads. If someone else controls the Instagram, Facebook, or WhatsApp account, ask them to join the connection step.

Reploom is most useful when a team receives a steady flow of real buyer conversations. A very new workspace may need time to collect enough evidence for a meaningful report.

1. Create your workspace

A workspace is where Reploom stores connected channels, conversations, Sales QA findings, report settings, and teammate access for one sales operation. Use a brand, branch, location, or team name that your colleagues will recognize.

Your organization owns billing and workspace capacity. The workspace contains the operational data. If one company runs several separate brands or branches, keep each sales operation in its own workspace.

2. Connect your first channel

During onboarding, choose Instagram, Facebook, or WhatsApp. You can skip this step and connect later from Connections, but Reploom cannot analyze conversations until at least one channel is connected.

Only a workspace Owner or Admin can manage integrations. Read Connect Instagram, Facebook, or WhatsApp before starting if you are unsure which Meta account or permissions you need.

3. Confirm the report timezone and working schedule

Open Settings → Workspaces and check the report timezone. Report dates, the weekly reporting window, and the classification of messages received inside or outside working hours use this timezone.

Add the days and hours when your team is expected to answer. The schedule classifies when a customer message arrived. It does not subtract closed hours from the customer's actual wait.

4. Let Reploom import and analyze conversations

After a connection succeeds, the Sales QA dashboard shows preparation progress for that source. Depending on the channel, you may see history importing, conversations waiting for AI review, or a notice that analysis will continue with new conversations.

Instagram and Facebook history depends on what Meta makes available for the connected account. Full WhatsApp monitoring starts after connection. If usable WhatsApp history is unavailable, the first report is created after enough new conversations arrive, which can take 7 to 14 days during an early pilot.

5. Review Live first, then Report

Use Live for conversations where the team can still act, such as an unanswered request or a reply that left part of the customer's question unresolved. Open the source conversation before deciding what to do.

Use Report to understand repeated conversion leaks across a selected period. Report combines counts, reply timing, lead intent, repeated handling patterns, and the source conversations behind each finding.

Inbox remains the full conversation evidence layer. Closed keeps findings that were answered, hidden, or excluded. See Understand Inbox, Live, Report, and Closed for the complete workflow.

Optional: allow Reploom Support to troubleshoot

During setup, you can allow time-limited read-only support access. It lets Reploom Support inspect conversations, findings, reports, and connection state for troubleshooting. It does not allow replies, settings changes, account connections, deletions, or billing changes.

Support access expires after 60 days and can be turned off sooner from Settings → Team. Skipping it does not block workspace setup.
